The Opportunity
VoPay is looking for an Operational Excellence Lead to drive process clarity, scalability, and execution consistency across the organization.
This role will work cross-functionally with Product, Engineering, Sales, Customer Success, Finance, and Compliance to assess, design, and implement scalable processes and operating frameworks. The goal is to ensure that all internal and external touchpoints are structured, documented, and optimized for efficiency, quality, and growth.
This is a hands-on role focused on building the operational backbone of a fast-scaling technology company.
Key Responsibilities
- Establish a company-wide process framework that ensures consistency across all teams
- Define and implement standard operating procedures (SOPs) across key workflows
- Improve handoffs between teams (Sales, Onboarding, Customer Success, Finance, Support)
- Identify and eliminate operational inefficiencies and bottlenecks
- Ensure all customer-facing and internal processes are scalable and repeatable
- Introduce operational KPIs and performance tracking across departments
- Drive process automation and system alignment where applicable
- Create a culture of accountability, clarity, and continuous improvement
- Conduct a full audit of existing processes across departments
- Map current workflows and identify gaps, redundancies, and risks
- Design and implement SOPs for critical functions (sales cycle, onboarding, payments flow, support, reporting, etc.)
- Standardize internal and external touchpoints to ensure consistency in execution and customer experience
- Work closely with department leaders to align on processes and enforce adoption
- Establish clear ownership and accountability for each workflow
- Implement tools and systems to support process visibility and tracking
- Continuously refine processes based on data, feedback, and business growth
Success Metrics
- Reduction in operational friction and manual work
- Improved speed and quality of cross-functional handoffs
- Increased visibility into workflows and performance
- Adoption rate of SOPs across teams
- Measurable improvements in efficiency (time to onboard, time to activate, issue resolution time, etc.)
- Reduction in errors, rework, and compliance risks
Qualifications and Skills
- 5+ years in a similar role
- Strong understanding of scalable operating models and cross-functional workflows
- Ability to work across technical and non-technical teams
- Highly structured thinker with strong documentation and execution skills
- Experience with process mapping, SOP development, and workflow optimization
- Familiarity with tools such as CRM, ticketing systems, workflow automation, and reporting platforms
- Comfortable in a fast-paced, evolving environment with high ownership

Compensation
$90,000.00 - $110,000.00 per year
